Transport Services Receptionist

Could you be the face of our Transport Services operation at our busy Avonmouth vehicle workshop?  Are you looking for a role with real purpose, helping to keep our emergency vehicle fleet on the road?

An opportunity has become available within our Transport Services Department for a Service Receptionist to join our team.  You will work alongside a team of vehicle technicians to assist with the general maintenance of police vehicles across the Constabulary.  In this role, you will quite literally be keeping police officers and staff on the road so that they can continue their vital work in the community.  You will form part of our dedicated administration team from our Avonmouth workshop. 

Your customer service skills must be exceptional – you will be the face of Transport Services to visitors to our workshop, and you’ll be an ambassador for Avon and Somerset Police when dealing with our contractors and suppliers.  You’ll play a critical role maximising vehicle uptime and providing the highest levels of support to frontline officers and staff.  

 

Role Description

As our Service Receptionist, you’ll provide a front-of-house reception service for Transport Services, greeting visitors to our workshop and booking vehicles in for service, maintenance or repair.  You’ll provide a range of efficient, effective and high quality administrative and support services to the team.  You’ll use our fleet management systems to ensure that work can effectively flow through our workshop.  You will be the welcoming first point of contact for police officers, police staff, contractors and our suppliers.

 

Main Responsibilities

  • Greet colleagues, contractors, visitors and suppliers to our busy central workshop
  • Booking in vehicles that are being dropped off by police officers and staff for service, maintenance and repair, ensuring that defect information is correctly captured and added to the job card and the job is accurately administered on our workshop management system.
  • Receiving and responding to calls on our switchboard relating to vehicle defect queries relating to defects, service and repair tasks, and providing job progress updates to customers. 
  • Managing requests for roadside vehicle recovery, liaising with our outsourced breakdown provider to promptly arrange recovery of stricken vehicles
  • Liaising with Workshop Controllers to ensure that ‘while you wait’ appointments are allocated to vehicle technicians to reduce officer and staff downtime
  • Notifying customers when their vehicles are ready to collect
  • Co-ordinating the daily vehicle movements into and out of our workshop by effectively managing vehicle movements allocated to our dedicated team of volunteer drivers.
  • Manage and record the allocation of Transport Services courtesy loan vehicles.
  • Liaising with our facilities team to record and report building defects or site maintenance requests

 

Security Vetting

It is the policy of the Avon & Somerset Constabulary to conduct security checks on all staff in line with the National Vetting Policy.

Working Hours:

The working hours will be core office hours, however, start and end times can be agreed between 0730-1700 to suit the role holder and the Constabulary.

Reporting Line:

This role directly reports to the Administration Supervisor.

Interview Process Timescales:

Shortlisting will take place 24th April 2026 .

In person interviews will take place w/c 4th May 2026 .

This role will be based at our Avonmouth workshop.  Please check that you can travel to the workshop as public transport is limited at this location.
