West Division and Specialist Operations – Senior Leadership Assistant
Are you an exceptional administrator with outstanding organisational skills and the confidence to work at senior leadership level? We are seeking a highly capable and professional Senior Leadership Assistant to support the West Division and Specialist Operations Senior Leadership Team.
This is a pivotal role, providing first‑class executive support to the Chief Superintendent and Senior Leadership Team, and playing an integral part in the effective and efficient running of the West Division and Specialist Operations Command.
About the Role
As Senior Leadership Assistant – West Division and Specialist Operations, you will provide a high‑quality, confidential administrative and secretarial service to senior leaders, working closely with internal and external stakeholders at local, regional and national level. You will be line‑managed by the Head of Command and will operate as a trusted member of the Senior Leadership Team.
The role requires someone who can work with minimal supervision, manage competing priorities, anticipate requirements, and maintain absolute professionalism in fast‑paced and sometimes high‑pressure environments.
Key Responsibilities
Deliver a comprehensive, confidential executive support service to the Senior Leadership Team, including:
- Diary and inbox management using Microsoft Outlook
- Drafting correspondence, reports, briefings and presentations
- Managing filing systems in line with force policy and GDPR requirements
- Processing, logging and tracking correspondence, complaints and actions
Act as the first point of contact for the Senior Leadership Team, professionally handling complex enquiries from:
- Chief Officers and senior police staff
- OPCC, MPs, County Councillors and HMICFRS
- External agencies, partners and members of the public
Coordinate and support a wide range of meetings and events, including:
- Local, regional and national meetings
- Gold Groups, Strategic Command Groups and major incident support
- Conferences, seminars, training days and away days
- Senior Leadership Team Annual Awards Ceremony
Provide high‑quality minute‑taking, action tracking and follow‑up to ensure accountability and delivery against deadlines.
Ensure senior leaders are fully briefed ahead of meetings, inspections and events, including HMICFRS inspections.
Lead on internal recognition processes including:
- Notes of Good Work and Commendations
- Drafting citations, letters and tracking recognition activity
- Supporting Chief’s Commendation Ceremonies
Support operational, HR, finance, performance and health & safety governance meetings, including audit‑ready record keeping.
Manage budgets linked to events and departmental activity, including:
- Raising and receipting purchase orders
- Liaising with suppliers and Finance Business Partners
- Monitoring spend and reporting risks
Maintain oversight of departmental assets and training records, escalating gaps or risks as required.
Be flexible to work outside normal office hours and across locations to meet operational demand.
About You
You will bring:
- Proven experience providing executive or senior leadership support
- Excellent organisational skills with meticulous attention to detail
- Strong written and verbal communication skills, delivered with diplomacy and professionalism
- Confidence working with senior leaders and external stakeholders
- The ability to prioritise, forward plan and adapt quickly to changing circumstances
- Strong IT skills, particularly across Microsoft Office 365 (experience of police systems is desirable)
You will be proactive, resilient, and trusted to handle sensitive information with discretion, integrity and sound judgement.

Working Pattern
The standard working hours for this role are:
- Monday to Thursday: 08:30 – 16:30
- Friday: 08:30 – 16:00
There is a requirement to be flexible, including occasional out‑of‑hours working to support organisational needs such as awards ceremonies, Gold Groups, or critical incidents.
