The Role & Key ResponsibilitiesFrom your first day with us you will be part of a policing family making a real difference.

We are seeking a highly organised, technically minded, and customer‑focused Maintenance Coordinator to join our Estates & Facilities (E&F) team. The successful candidate will be responsible for assessing, triaging, and coordinating a wide range of tasks across Sussex Police sites.
As the primary point of contact for all escalated maintenance-related issues, you will manage incoming requests through our Computer Aided Facilities Management (CAFM) system, ensuring accurate information is gathered and effective allocation to in‑house engineers or specialist contractors. A significant part of the role involves regular communication—especially via phone—to coordinate engineer attendance, clarify fault details, and keep customers fully updated.
This role is essential to maintaining safe, compliant, and operationally reliable buildings that support frontline policing and wider organisational services. You will work collaboratively with internal customers, engineers, contractors, finance teams, and senior managers, delivering high-quality service and ensuring maintenance activities meet statutory, technical, and performance standards.
The role is based at Lewes Headquarters, Monday–Friday, 08:00–16:00 with a 30‑minute lunch break.
Responsibilities include:
- Triage, allocate and update maintenance requests within the CAFM system, liaising with internal teams, contractors, or partner agencies.
- Coordinate reactive maintenance and Planned Preventative Maintenance (PPM)
- Record, and process worksheets, quotes, timesheets, and invoices.
- Process order requests, ensure timely invoice payments, and follow finance and procurement procedures accurately.
- Manage contractor vetting and renewal requests to maintain compliance and access control requirements.
- Proven background in similar administrative roles. Experience working in maintenance coordination, an engineering helpdesk, or facilities management environment is desirable.
- Confident communicator, able to gather technical detail and coordinate multiple tasks simultaneously—comfortable handling a high volume of phone calls.
- Skilled in complaint handling, relationship building, and collaborative working.
- Experience coordinating maintenance, inspections, or service activities.
- Strong organisational skills with a methodical and accurate approach to record‑keeping, including identifying and resolving data discrepancies.
- Ability to interpret technical reports, engineer feedback, and compliance documentation.
- Knowledge of CAFM systems (desirable) and general MS Office proficiency.
- Comfortable managing diaries, access control, visitor management, and vetting checks.
- Able to make quick, informed decisions and respond effectively to unexpected issues.
- Confident working independently while contributing positively to a wider team.
