The main purpose of this role is to provide effective and efficient administrative support to the Disclosure Unit.
Main Responsibilities:
- To provide administrative support to the Disclosure Unit including dealing with telephone enquiries, managing correspondence and other related duties.
- To answer telephone calls for the Disclosure Unit resolving queries and issues personally if possible, or transferring to other members of staff as appropriate.
- To receive, sort and distribute daily post, ensuring urgent matters are brought to the recipient’s attention and prioritised.
- To compose and deal with routine correspondence on behalf of the Disclosure Delivery Manager and staff.
- To collate and analyse information from various sources on behalf of the Disclosure Delivery Manager and use IT to produce high quality documents and presentations for the purpose of briefing and communicating.
- To raise orders, store and distribute stationery and supplies, ensuring the correct receipt of goods at the point of delivery. To process invoices and expenses in accordance with financial regulations.
- To ensure an appropriate inventory of equipment and supplies is in place in line with Force instructions.
- To maintain filing systems, storage and archiving, prepare files for central storage and assist with the transfer of files.
- To undertake other duties commensurate with the nature, level of responsibility and grading of this post, as required.
Person Specification:
Knowledge:
- Education to GCSE level including A – C in English language or NVQ equivalent
- Knowledge of routine administration processes
Experience:
- Previous administrative experience in a busy office environment
- Experience of providing administrative support to senior management in a professional environment
- Proven ability to take clear and concise notes of meetings
Key Skills:
- Excellent word processing skills and competent in the use of IT packages
- Flexibility to manage multiple tasks whilst allowing for distractions
- The ability to solve problems and work on own initiative
- The ability to extract and convey information to other members of staff
