City of Manchester DRMU currently has vacancies for 1 x grade C administrator (apply to Vacancy 525 for Grade C) and 2 x Grade B admin assistants.
Both roles require excellent computer skills and an attention to detail with the ability to work to time sensitive deadlines and work under pressure. The DRMU are responsible for the daily staffing of the CoM which totals around 1500 staff and police officers and we deal with matters relating to pay as well as ensuring daily business is dealt with by the correct resources.
Your role as an admin assistant will be to ensure the day to day records for the DRMU are kept up to date and to perform administrative duties in relation to resourcing, training and resource management. You should have a good working knowledge of the forces establishment including the rank structure and will be competent in the use of local computer systems as well as various Microsoft products such as excel and planner. Other duties will include: -
- To support the DRMU Sergeant/HR Systems Manager/Coordination Unit Supervisor in ensuring that the tasks relating to Resource Management administration are undertaken, with due regard for confidentiality issues at all times.
- To organise and prioritise workload on a daily basis in relation to Resource Management administration.
- To carry out all functions in relation to training administration for the District/Branches including mandatory and elective training. Ensuring full attendance and the non-attendance process is complied with.
- To carry out administrative duties relating to training, including the maintenance of accurate records, booking training courses and updating databases and spreadsheets as required.
- Update duties and working hours efficiently and effectively, to ensure that available information regarding the District/Branches’ resources is accurate and that the optimum resource level is achieved.
- Assist with the administering of staffing of special events organizing and administering the staffing of sports/special events/) both on and off the District/Branches.
- To produce management information (reports and summaries) when required, using various databases, spreadsheets and the iTrent System.
- Assist with producing and maintaining staff establishment records, ensuring movement to/from/across the District/Branches are recorded appropriately.
- To maintain all the filing systems within the section.
- To produce correspondence on various subjects as requested.
- Keep your knowledge of policies and procedures up to date i.e. through District/Branch and Chief Constables Orders.
- Produce agendas for meetings as required and take minutes as directed.
