Community Speed Watch Administrator

A vacancy has become available within Road Safety for an enthusiastic administrator to work within the Community Speed Watch (CSW) Team assisting the CSW Managers with setting up new Speed Watch Groups, ensure smooth running of the CSW scheme and to give help and support to existing groups which are made up of volunteers giving up their time to help reduce speeds within their local communities.

This role will involve email, telephone and at times face to face contact with CSW volunteers, whilst predominantly office based there are opportunities for the successful administrator to attend engagement sessions alongside the scheme Managers to help with recruiting more volunteers and spreading the word about the CSW scheme.

The principal responsibility of the Community Speed Watch (CSW) Administrator is to provide a professional support service to the Community Speed Watch Scheme and its Scheme Manager in alignment with the Vision Zero South West (VZSW) Strategy. In particular to:

  • Provide support to the force Community Speed Watch (CSW) Manager by managing the email inboxes and identifying and raising anything of concern.
  • Triage complaints which may sometimes be written offensively or in malice and compose an appropriate response.
  • Provide a customer focused response to email and telephone and/or face to face enquiries or requests that may involve some specialist knowledge or subject matter expertise. This includes regular contact with members of the public, external agencies and stakeholders.
  • Create and maintain electronic record management systems. Update and amend records in line with organisational policy, procedural guidelines and in compliance with GDPR governance.
  • Create, update and format word documents and spreadsheets for use in managing and monitoring activity
  • Retrieve data from a variety of sources and provide findings.
  • Provide expert knowledge and advice around working practices and policies of Community Speed Watch
  • Train and mentor new staff members within the same role.
  • Attend Community Speed Watch conferences meeting volunteers, Office of Police and Crime Commissioner colleagues, partner agency members and policing colleagues. Help with compiling presentations and deal with enquiries.
  • Take responsibility for a CSW portfolio of tasks which requires specific training in use of relevant systems and CSW Online to produce outcomes e.g. Letter 3 production, Group Abuse Letters, transfer of data into the camera enforcing processing system called EROSCORE, CSW Site Pack creation.
  • Work with limited supervision.
  • Assist with audits when required to do so.
  • Provide general administration support to a range of meetings and/or events as required on a regular and/or ad hoc basis. This may include, booking venues, sending out meeting requests and organising catering.
  • Undertake general office duties which may include, photocopying, printing, diary management, stationery and equipment ordering. 

The post holder may be required from time to time to provide additional cover for the same post in other geographic areas.

This list of duties is not restrictive or exhaustive and the post-holder may be required to carry out duties from time to time that are either commensurate with/or lower than the grade of the post.  In some posts this might include the ad-hoc provision of guidance and informal training of new colleagues.
