Occupational Health Administrator
This role is within a unit where Surrey Police and Sussex Police work in collaboration, whilst remaining two separate legal entities/employers with different terms and conditions.
Both Surrey Police staff and Sussex Police staff are employed in this unit on their own force terms and conditions.
Successful candidates may be appointed on the terms and conditions of employment of either Surrey Police or Sussex Police, depending on organisational requirements. A discussion will be held with the successful candidate to confirm the details of location, salary, allowances and hours.

The starting salary for this role will usually be at the bottom of the salary range and will be pro-rata if the working hours are less than full time.

The Role & Key ResponsibilitiesFrom your first day with us you will be part of a policing family making a real difference.

The Administration role is to support the Occupational Health Clinical Team to administer all aspects of the occupational health service to provide a high quality, effective and organised service. The administrator will provide support to the whole of the OH & Well-being team to help maintain the effectiveness of the OH service. Working as a member of the team you will be processing and progressing enquiries by telephone, email and post and dealing with all aspects of administration as required by the service. Assisting with quality control checks, editing work as required, training new members of staff as required, developing processes and procedures to identify and ensure best practice. Co-coordinating and managing the Cority diaries of the clinical team to best manage resources available and provide timely appointments and responses within the SLA’s and maintaining the health records of the client groups using the electronic record keeping system and liaising with external providers such as physiotherapy and psychological services, GPs and other specialists ensuring that reports are received on time and that the service provision runs efficiently. Always maintaining medical confidentiality, working with due diligence by following the OH process. To be responsible with the Admin Team Leader’s support for the management of the psychological vulnerable role screening programme. To also undertake other duties as appropriate to the grade and character of work as may be reasonably required, including specific duties of a similar or lesser graded post such as undertaking some of the day-to-day administration work.
Educated to GCSE level and have relevant experience and skills as required by the role.
Excellent customer service skills and experience, with appropriate communication skills in order to deal appropriately with queries.
To exercise sensitivity and tact around medical and confidentiality issues, using diplomacy and initiative.
Confidence in dealing with service users and dealing with potentially difficult calls.
Flexibility and adaptability to deal with changes in process as the service continues to develop.
Ability to work calmly and adapt to the changing demands of the service.
Team player who has administration skills and experience and willingness to take on new tasks and develop problem solving skills.
Good knowledge of Microsoft Office, especially using Excel and specialist data systems.
Consistent attention to detail and accuracy in data inputting.
Willingness to travel to other sites on occasion.
To be able to remain calm and empathetic. Previous experience of working in an Occupational Health, medical setting or administrative setting.
