Location: Headquarters, Northallerton, with the opportunity for hybrid working.
Salary: Scale 4-5 SCP 19-6 £26,106 - £31,296 per annum. This role includes a Career Progression Plan, please see the job description for further information.

Hours: Full time, 37 hours per week, Monday – Thursday 08:30-17:00 and Friday 08:30-16:30

We are looking to appoint a Personal Assistant to the Executive Support Team on a temporary basis for 12 months.
As a Personal Assistant you will provide dedicated administrative support to Chief Officers and to senior executive members within North Yorkshire Police.
You will be required to provide high quality, confidential, multi-disciplined Personal Assistant support service to the Chief Officer Team and to senior executive members. As a dedicated Personal Assistant you will need to ensure you have a high level of accuracy and discretion for this role as you will work autonomously to provide confidential/non-confidential administrative support service required to support senior individuals.
Key responsibilities:
- Provision of a high quality, confidential, multi-disciplined Personal Assistant support service to the Chief Officer Team and to senior executive members; covering but not limited to;
- diary management
- document production
- email management
- meeting and conference facilitation
- portfolio support and
- ensuring and delivering excellent customer service.
- Deliver service in accordance with agreed standards as well as identifying and developing ongoing process and service improvements. Promote the service catalogue, associated tools, SLA’s and KPI’s, ensuring they are clearly understood by service users and colleagues.
- Develop and maintain good knowledge of key procedures and processes, identifying, resolving and escalating issues as appropriate
- Effective maintenance and file management, in accordance with relevant legislation, regulations or procedures. Ad hoc monitoring and audit of data, systems and processes to provide performance and quality assurance, identifying and resolving issues as appropriate.
- Supporting and developing the team to ensure full capability across all activities, delivering coaching and guidance as necessary.
- Respond to queries and provide advice, guidance or signposting to internal and external customers on transactional support services, key procedures and processes.
- Contribute to or undertake research or project work on key issues or specific initiatives.
- Develop and maintain working relationships with colleagues, key stakeholders, unions and staff associations.
- Casefile management and complaints for all Chief Officers. Providing appropriate liaison and updates as well as identification of thematic trends.
- Portfolio support for internal and National portfolio responsibilities of the Chief Officer Team.
- Management and facilitation of Chief Officer Team led force wide events and ceremonies.
Requirements:
The ideal candidate will have demonstrable experience in arranging meetings and managing multiple senior managers’ diaries, in addition to arranging large scale events and ceremonies.
Key to the role is your ability to handle a range of issues of sensitivity and confidentiality with patience, confidence and professionalism. You will have excellent planning, organisational and notetaking skills with high levels of accuracy to meet requirements and timescales.
In this role you will communicate with a broad range of customers and work as part of a dedicated team, as such, we are looking for an individual with excellent customer service, problem solving and interpersonal skills.
You will have a high level of attention to detail and be comfortable with producing and presenting accurate data and information and you will be proficient in the use of Microsoft Office and IT systems
In addition, you will have experience of delivering service improvement through coaching and developing individuals to improve performance and continuous process improvement.
