Hours: 37 Hours per week (Full-Time) Office based

Contract: Permanent X1 Immediate vacancy & Succession planning (For future vacancies)

Humberside Police are looking for a highly motivated individual to join them in their busy Joint Estates Department.

As a JES Support Officer, you will assist with the delivery of the estate service by providing effective and efficient administration support to the Joint Estates function.

The role holder will be required to contribute towards the ongoing improvement of the client estate and facilities for the office of the police and crime commissioner, Humberside Fire and Rescue and Humberside Police.

This role will require you raise and process orders, process, and forward invoices to finance for payment and perform other clerical duties.

Key Responsibilities:

  • Engage with others on behalf of JES including stakeholders (internal and external), contractors, agencies and consultants, Local Authorities and client service units. Liaises with and supports other members of the JES to provide a comprehensive building maintenance service to clients.
  • Manage and maintain Humberside Police’s Access Control System, providing a service to building users and ensuring compliance with corporate security policy.
  • Validate energy consumption and support in the resolution of queries/disputes, maintaining energy records and assisting with the production of reports/information.
  • Review reactive requests for service and allocate to appropriate contractors and/or JES Buildings Team within service response standards.
  • Provide efficient and effective administrative support to Joint Estates Services Management Team and staff. Collate information and provide updates and reports to support priority setting and decision making.
  • Provide support to all areas of the department in updating records, handling enquiries into the office, liaising with clients, stakeholders, contractors, and suppliers.
  • Act as the JES point of contact for supply chain vetting and manage all confidential information in line with organisational policy.
  • Works within guidelines and policy but will be able to use initiative and judgement to identify the best available option and takes or recommends a course of action to achieve the desired result within the appropriate timescales.

What the role requires:

  • Experience of working in a customer orientated field
  • Has knowledge of building management systems, database systems, ordering and invoicing systems used for financial control.
  • Experience of maintaining databases and researching data from computerised recording systems.

 

  • Experience of working in a clerical field, incorporating record keeping, telephone work etc
  • Excellent communication skills
  • Computer literacy/keyboard skills
  • Excellent organisational skills
  • Ability to work with minimum supervision when required.
  • Carries out tasks in an accurate and methodical manner with an eye for detail.
  • Ability to work as part of a team.
  • Ability to prioritise workload.
