Hours:  37 Hours per week (Full-Time)

Humberside Police are looking for a Clerical Assistant to work in their Legal Services Unit. The successful candidate will provide a comprehensive clerical and administrative support to the legal service unit.

The role holder will be required to manage the diary for the legal services team and will be the point of contact for daily enquiries.

As the post holder, you will be expected to work within generally defined guidelines but may be required to use judgement and discretion in dealing with non-routine matters for which there may not be a readily available precedent and must have experience of working in a highly confidential department.

Key Responsibilities:

  • Is responsible for undertaking duties in an efficient, conscientious and courteous manner.
  • Maintaining accuracy and meeting predetermined deadlines.
  • Ensuring actions taken do not impede the effectiveness or efficient running of the legal services department.
  • Undertakes research/fact finding relating to tasks specified by staff within the unit.  Research systems regarding historic case law or relating to civil claims made against Humberside Police.  Collects, collates, and prepares information, returns and/or statistics for the use by force solicitors in cases.
  • Undertakes routine document processing functions such as data entry, record checking/updating, application distribution and collection, invoice/order processing and claims processing.
  • Provides a comprehensive range of secretarial/clerical services to the Legal Services Unit including shorthand, word processing, audio and copy typing, filing, photocopying, document collation and distribution, routine statistical work, provision of refreshments, room bookings, as well as making routine telephone enquiries.  Duties of a non-routine nature may involve information/material of a confidential nature, which may require a degree of interpretation and initiative.
  • Monitors, directs and answers queries via telephone and in person within pre-determined guidelines acting as the initial point of contact for Legal Services, directing where appropriate matters to more senior colleagues within the unit.
  • Manages the diary for all of the Legal services team.  Organises meetings, provides support services and subsequent action as necessary, including agenda preparation, collation of supporting papers, taking and producing minutes where necessary including from audio recordings.

What the role requires:

  • Educated to GCSE standard or equivalent.
  • Typing/Word Processing RSA II or equivalent or previous experience in a typing/word processing environment.
  • General administration experience including filing, record keeping, processing telephone calls etc.;
  • Demonstrates the ability to complete tasks accurately within specified deadlines.
  • Willingness to learn and undertake a variety of tasks.
  • Possesses an understanding of when to refer matters to more senior staff.
  • Possesses the ability to prioritise tasks effectively and works well with minimum supervision.
