Role: Registry Assistant

Department: CDB – Corporate Development Branch

Scale: RLW/3

Salary: £25,950 - £26,703

Location: Beverley

Hours: 37 Hours per week (Full-time) Monday to Friday

Flexibility Requirement: Candidates must be open to flexible daily working hours to meet the operational needs of the department. This may include adjusting start and finish times, providing cover during peak periods, or supporting colleagues during absences. Flexibility is essential to ensure consistent service delivery and effective team collaboration.

Contract: Permanent

To assist in the operation of an efficient and effective information storage and retrieval system concerning digital and physical media in accordance with the ACPO Code of Practice on the Management of Police Information (MOPI). The editing and production of Audi/Visual media for evidential purposes and the management of Crime files and the information therein

 

 Key Responsibilities:

  • Maintains the storage, retrieval and disposal of Crime files and physical media ensuring appropriate storage conditions.
  • Prioritises and works effectively as part of a team to ensure that deadlines are achieved, supporting colleagues as required.
  • Receives, inputs & checks the data quality of subject’s person information, Investigation, Crime, Case references and MOPI groups within evidential exhibits against the force’s databases and Registry local systems and where necessary expedite completion of incomplete records / fields to ensure that information is updated in a timely manner so as to meet the requirements of the General Data Protection Regulation (GDPR) and MOPI and support the force’s operational objectives.
  • Receives requests from internal and external customers for various types of media. Locate and copy tapes/DVDs on the appropriate system and then manually retrieve from Warehouse. Locate and download relevant information from various sources and use judgement and initiative to provide information as appropriate. Undertake disc breaches in conjuction with CPS. Ensure copied media is given the appropriate level of protection to ensure the force meets GDPR requirements.
  • Locate 999 calls from the Hub, Red box or the Western Machine and disc. Provide and send securely relevant and correct command calls for the Logs.
  • Provide signed MG11 statements confirming the procedure and system used to retrieve footage to be exhibited in court and attend Court if requested to do so.
  • Work to tight timescales and deadlines with urgent requests often from CPS and Courts needing immediate completion. Liaise with internal and external customers including defendants, solicitors & service providers.

  • Excellent organisational skills
  • Experience of working in a confidential environment.
  • Experience of operating computers to input, amend, retrieve and evaluate large volumes of information
  • Good presentation skills and report writing skills.
  • Previous administration experience incorporating a wide range of duties such as administrative procedures, telephone queries, record keeping etc.
  • Excellent communication skills to deal sympathetically but positively with tact and diplomacy.
  • Possesses an appreciation of the need for confidentiality.
  • Ability to work with minimum supervision when required.
  • Carries out tasks in an accurate and methodical manner with an eye for detail.
  • Ability to work as part of a team.
  • Ability to prioritise workload.
