Front Counter Station Assistant

DUTIES AND RESPONSIBILITIES: 

  1. To provide a Reception service at Police Station. 
  2. To deal with general enquiries from members of the public, including obtaining initial details from persons wishing to report an incident/crime/Road Traffic Collision (RTC), both at the counter or via the telephone & Email. 
  3. To examine driving documents presented with Home Office Road Traffic Form (HORT1), record details on Form HORT2 and complete appropriate register if applicable. 
  4. To take details of found property and record onto the RMS (Record Management System).  To ensure the security of property in accordance with Force Orders and trace and return property to owner/finder as relevant. 
  5. To process and authorise release of seized vehicles (Section 165), checking Insurance & Driving Documents and liaising with MIB (Insurance Bureau) & Recovery Garages. 
  6. Inputting data and messages on the I/CAD & RMS system, including when required, extracting data from both these systems. Carry out Police National Computer (PNC) checks. 
  7. To receive applications for shotgun and firearms certificate renewals. Check, receive fees and issue receipts. To receive surrendered shotguns and firearms. 
  8. To record details of persons reporting to the Police Station on both Police & Immigration bail and maintain the bail register. 
  9. To ensure that the building is secure during entry and exit of visitors and staff.  Receive visitors to the Station, record the visit and issue visitors’ labels. 
  10. Input/extract and distribute messages from the Force Electronic Mail Systems. 
  11. Ordering and Maintaining adequate stocks of relevant stationery. 
  12. To input Stop Searches onto RMS (Record Management System) & store securely as per force policy. 
  13. To carry out the daily Victim of Crime letter process.  Running daily report from RMS (Record Management System) on daily basis and printing and posting letters to victims of crime. 
  14. Foreign National registration – deal with process of registration/collect fee and arrangements made for person/s to return back to complete registration booklet and familiarise them with the legal requirements. 
  15. Regular banking procedures - receiving cash/cheques over the counter in connection with Shotgun Certificates, Data Protection, Peddler’s Licences etc - endorsing Application Forms, producing receipt and banking the same.  Keep up-to-date files of banking records for audit purposes.  Bank amounts of cash from Found Property entries.  
  16. Sex offender’s resister – to maintain register, complete CID51 and liaise directly with local sex offenders in correlations with current laws. 
  17. Promote and comply with North Wales Police policies on equal opportunities and health and safety both in the delivery services and the treatment of others. 
  18. To keep office and reception area in a neat and tidy manner. 
  19. Training/advising – To assist new staff/probationers who are to work in the station. Familiarisation with procedures at the front counter, registers, documentation, safety cash box, fire exits, found/seized property etc. 
  20. To carry out any other associated duties and responsibilities commensurate with the post and salary grading.
