To support the Supplies Manager in the provision of a comprehensive uniform service to the Force and the wider FCIN network. Also to provide Force forms and general stock to meet the Force day to day needs and consistent with offering a high level of customer service.

You will be based at FHQ, Colwyn Bay, North Wales Police, where you’ll provide a crucial service. You’ll be working alongside a substantial team and will receive fully structured training and continued support to ensure you thrive within the role.

The overall purpose of the role is to provide a consistent and high level of customer service to your North Wales Police colleagues.

You will act as a key point of contact for the Supplies team, playing an essential role to the Force. 

Here are some of the accountabilities of the Assistant Supplies Officer:

  • To review the online uniform orders submitted daily to Supplies and authorise, adjust or otherwise cancel/refer back to officers having taken account of fair wear and tear policy and an annual quantity matrix.
  • To kit out individual recruits with uniform items during face-to-face visits ensuring all items fit or are altered by the seamstress so they are available for the recruits start date. Check and pack all items into a kit box and provide a check list for the recruit and trainer. Post all items issued onto the E-Financial system against individual officer activity to maintain a historical record for each individual officer.
  • To purchase stock in quantities in line with current Force demand and the anticipated forward demands based on kitting out of uniformed recruits to the annual recruitment plan and specialist training schedules for PSU, MOE and Search teams.
  • To receive, check and record all stock items delivered into the Supplies section and update the E-Financial systems to identify any back orders that can then be issued.
  • To also receive and identify other deliveries of orders raised by SSF Purchasing Team and local SPOCS that are addressed to Supplies but need onward distribution to other areas of the Force.
  • To process on a daily basis provisions raised within SSF for Force printed forms and other general stock items and pick, pack and dispatch these to internal delivery addresses Force wide.
  • To maintain and administer the Advanced E- Financial Stock Standing Data to ensure description and price data is immediately update in line with new contract details and any ad hoc price changes, and to ensure descriptions adequately reflect a comprehensive purchase description.
  • To perform perpetual inventory stock checks throughout the year as required and investigate and resolve any discrepancies found adjusting stock balance as agreed with the Supplies Manager.
  • At year end conduct an annual stock check of all stocks held in Supplies and submit stock check forms in a timely manner against a YE stock reconciliation schedule.

What will I need to be considered for this Assistant Supplies Officer?

  • NVQ  level 3 or equivalent in Purchasing or related subject (e.g. working towards CIPS foundation stage), or an equivalent amount of proven relevant experience.
  • Minimum of English and Maths at GCSE level or equivalent
  • Previous experience of working in a similar environment to stores/Supplies.
  • Basic IT skills, keyboard skills, with knowledge of processing orders/invoices.
  • Fit to carry out duties and tasks including lifting and handling equipment etc. (some of which will be of a heavy nature).
  • Ability to work under own supervision and initiative.
  • Excellent communicator with good face to face interpersonal skills.
  • Self motivated individual who can prioritise work to deliver excellent customer service.
