Provide administrative support for the Warwickshire IOM Scheme. Provide a high standard of organisation and administration for ODOC meetings. Ensure that all admin functions/tasks relating to IOM are fulfilled.
Main Responsibilities:
Keep up-to-date the Warwickshire IOM system including removals, selections of nominations to the scheme.
Source from Force and National systems information relating to IOM Nominals. Update and maintain Force systems with the most up-to-date information including PNC, PINS, FLINT’S, GENIE, Libra, and Exhibit & N-Delius.
Create and disseminate Prison releases to operational contacts throughout each local policing area. This includes, Police Officers, Probation and Partners.
Attend meetings across the county and ensure the detailed and comprehensive compilation of minutes, accurately reflecting the discussions and actions. Including One Day One Conversation – (IOM meeting), WRRB or other Practitioners forums.
Monitor and record IOM nominals path through the Criminal Justice System and collect the appropriate results, such as sentencing, breach court outcomes and disposals through Warwickshire custody.
Communicate verbal and written information about IOM Nominals to relevant internal Departments and partner agencies.
Provide administrative support to the IOM Unit including booking prison visits, scanning documents, filing applicable paperwork on the unit’s electronic storage.
To contribute to the efficient continuous improvement and innovation in developing streamlined processes to ensure the service of IOM remains lean and focused at all times on priority issues and contribute in other areas to ensure effective delivery of good practice, adopting a team approach to ensure service levels are developed, maintained and delivered.
To undertake other duties commensurate with the nature, level of responsibility and grading of this post, as required.

Person Specification:
Knowledge:
- Educated to GCSE or equivalent further education
- Competent in the use of IT packages including Microsoft packages, PowerPoint or equivalent
Experience:
- Experience of working in a busy demanding office environment
- Proven ability of handling restricted and confidential material
- Proven ability to take clear and concise minutes of meetings
Key Skills:
- Excellent word processing skills
- Proven ability to build effective working relationships and operate as part of a wider team
- High levels of communication skills both written and verbal
- Flexibility to work to changing priorities and deadlines
- Good administration and organisational skills to co-ordinate a wide range of tasks and ability to manage large volumes of work
- Ability to work on own initiative
- A proactive 'can do' approach in managing situations and people effectively
- Full Driving license and access to own vehicle
