The Counter Terrorism Policing (CTP) network stretches across the UK. We work alongside our partners to thwart terrorist planning and help bring perpetrators to justice.
Our multi-functional Business Services team supports the operational delivery of CT policing across the wider West Midlands region through the key themes of Employee Resourcing, Facilities & Estates and Finance.
Based at our modern offices near to Birmingham International Airport, this role is offered as full time. You’ll work Monday to Friday from 8am to 4pm, but an element of flexibility is necessary to meet business needs.
The role
As an Employee Resourcing Officer you’ll assist in the delivery of a high quality, effective and efficient administration service to Counter Terrorism Policing West Midlands (CTPWM), working both individually and as part of a team, ensuring WMP policy and procedure is adhered to.
Using your excellent customer service and communication skills, you’ll be responsible for telephone calls, emails and face to face enquiries from internal and external stakeholders. You’ll perform a selection of tasks within the team ranging from HR, duty management, training and recruitment.
You’ll take ownership and become a point of contact for several thematic areas within the team by processing transactional requests and developing skills and knowledge to enable the delivery of relevant support & guidance to employees and managers.
Responsibilities
- To be knowledgeable across all areas within the remit of the role within the Employee Resourcing area and be inquisitive and quickly fill gaps in knowledge.
- Collating and updating information for managers including production of accurate, timely, and useable performance/statistical management information.
- Dealing with abstraction management for operational policing and uploading shift patterns on the rostering management system.
- Providing a transactional service and support for Employee Resourcing matters including recognition & appreciation awards and retirements and resignations.
- Processing overtime claims in relation to Time off in Lieu (TOIL) and Re-Rostered Rest Days (RRD).
- Creating, updating and maintaining personnel accounts on Oracle Fusion.
- Ordering and administration of uniform, equipment and long service gift
- Processing internal and external training requests and updating training records.
- Processing the admin for multiple levels of vetting for all within CTPWM including internal employees and those from external agencies e.g. contractors.
- Performing administration associated with recruitment of both Police Officers and Police Staff into CTPWM.
- Participating in meetings and making a valued contribution, representing Employee Resourcing, detailing and communicating minutes and ensure actions are progressed.
- Ensuring self-service systems are up-to-date with key service information and actively promote the use of self service to customers.
- Supporting regular testing of HR & rostering management systems when updates/new versions are adopted and implemented.
- Assuming the role of a data steward (for specified data sets), ensuring all data is accurate, access is authorised and controlled, technical processes sustain data integrity and data is safeguarded.
- Supporting the service for audit inspections and help implement and embed the agreed recommendations.
- Ensuring business as usual is maintained during periods of high demand and change.
- Any other duties commensurate with the role or band/grade.
Skills and Competencies
Essential
- Excellent communication and interpersonal skills with the ability to develop strong working relationships with people at all levels inside and outside of the organisation.
- Experience of working in a transactional & customer service delivery environment and effectively dealing with customers.
- Experience of maintaining electronic filing systems or records and working to a high level of detail and accuracy.
- Experience of monitoring service delivery & quality and producing useable performance and management information.
- Proven competency in Microsoft applications (i.e. Word, Excel & Powerpoint).
- Ability to work as part of a team in a busy and pressurised environment, prioritising tasks and managing conflicting deadlines.
- Clear communicator with good communications skills both verbal and written.
- Able to manage own workload with limited supervision, uses initiative and has good organisational skills.
- Highly motivated & resourceful with excellent problem-solving skills.
- Possess a high degree of accuracy and attention to detail
- Able to learn new processes and systems quickly and effectively.
- Ability to demonstrate a flexible attitude towards work and to support team objectives.
Desirable
- Good knowledge across all areas within the remit of the role within the Employee Resourcing (HR) area (service catalogue, policies, processes, systems, service level agreements and performance targets).
- Knowledge of Oracle based systems – Oracle HR.
- Previous experience of using a duty rostering system.
