Job Title: Office Support / Administrator - Fleet Services

Salary: The starting salary is £34,808, which includes allowances totalling £2,928.

The salary is broken down as £31,880 basic salary, which will increase annually until you reach the top of the scale £34,108 Plus, a location allowance of £1,928 and a non-pensionable allowance of £1,000.

About Fleet Services 

The police vehicle fleet is an important physical asset. It enables officers and staff to do their job, carries key equipment required, and provides safe transportation for the public / prisoners. 

The role of Fleet Services is to keep the Met mobile, ensuring we can detect, respond to, and prevent crime whilst building public trust and confidence. The complex needs of modern policing requires a wide range of vehicle types. We operate a fleet of over 5,200 assets on the road and river, as well as over 1,000 pedal cycles. London is the most complex and diverse city in the UK, and our fleet is reflective of that. We currently have over 220 different types of vehicles supporting all operational commands including armed response vehicles, HGVs, patrol cars, motorbikes and pedal cycles.  

Customers can be broadly grouped into three strategic pillars – Frontline Policing, Met Ops & Performance, and Counter Terrorism / Specialist Operations. Collectively this covers pan London requirements as well as national CT responsibilities.  

The overall fleet requirements and volumes are owned and governed by operational leaders at the Strategic Fleet Board. Operational teams are accountable for the volume of fleet required to undertake their roles, and Fleet Services support and enable effective decision making through provision of information and technical / industry knowledge.  

Key responsibilities 

The responsibilities will differ slightly across the team, with some individuals supporting the Compliance Team and some supporting Office management, but generally cover the following: 

  • Reception / Office management – Provide an effective office management service, assisting with any queries raised into the workshop site, conversing with other team members and customers both in person and by telephone, providing excellent customer service at all times.  
  • Booking in / out – booking in and out of vehicles / vessels that are on site.  
  • Service / Maintenance – assist technicians to reduce vehicle downtime, maximising fleet availability and supporting operational officers  
  • Data / Information – Preparation for vehicles coming into site (reviewing Tranman / service records). Manage a large database of fleet records. Where required, use the system to create job cards for the engineers / technicians to use. Updating maintenance records and vehicle logbooks during completion of jobs on site. Produce reports to confirm any unproductive time, lost hours etc.  
  • Notifications to customers – Creation of and sending notifications to customers where required, using data and information from the system and from colleagues on sites. Ensure these are quality assured prior to submission. 
  • Requisitions and Invoices – support the overall operation with review of requisitions / invoices, and making sure these get to the appropriate team for processing.  
  • Stores / Parts team – where required, provide support for the Stores / Parts teams, for instance raising requisitions / Purchase Orders, ordering parts for the workshops, receiving all deliveries and goods receipting.  
  • Workshop equipment – support calibration of workshop diagnostic equipment and all other certificated plant, as well as hazard waster returns. Ensure calibration inspections are carried out every 6 to 12 months. File certificates appropriately. Bring any failures to management attention. Relay back issues to those who need to know.  
  • Site support - Ensuring the safe storage of all vehicles on site following the laid out security procedures at all times. Support any inspections required on site e.g. inspecting lifts. Report building and workshop equipment faults to ensure repairs to sensitive and essential equipment takes place in a timely manner. Liaise with contractors on site to fix any issues. Support building maintenance and working closely with PSD and their contractors to resolve any site issues.  
  • First Contact Service – deal with calls / demand into the Contact Centre, answering in a timely fashion and providing effective initial response for the calls. Ensure that the calls are processed to the next required stage e.g. booking for the workshops with collection, recovery booked, glass event booked, information provided etc. Take responsibility for the demand received and ensuring that all actions are taken to fix / resolve issues rather than just handing off. Provide an excellent customer service to individuals that raise demands into the service.  
  • Service / Maintenance – raise any issues with line management if it appears the future service / maintenance bookings are incorrect based on information received from customers (e.g. mileage) 
  • Requisitions and Invoices – support the overall operation with review of requisitions / invoices, and making sure these get to the appropriate team for processing.  
  • Process maps – Ensure process maps are in place for all activities. Regularly review and suggest revisions to these if development / improvements are implemented.
