Business Support Assistant

Prospective officers and staff must be held to a higher standard of behaviour and accountability than members of the public, and that therefore their right to privacy can be fettered in certain circumstances. This is to ensure that members of the police are fully aware and accountable for the unique powers entrusted to them and the standards of professional behaviour they swear to uphold.

 

West Midlands Police (WMP) has a duty to maintain public confidence in the Police Complaints System and to ensure that it is efficient and effective.  An effective police complaints system is vital, working with key stakeholders and governing review bodies.

The role is to provide the Misconduct Support Team with effective clerical and administrative support to ensure the efficient delivery of Misconduct and Disciplinary proceedings, within the Professional Standards Department. The role also includes providing support to the wider Professional Standards Department and its core duties. 
 
The role will be required to ensure compliance with Management of Police Information and maintain good housekeeping of the Professional Standards Department (PSD) Centurion system, along with physical filing of original documents. The role will support the Proceedings case managers in all aspects of proceedings, from recording cases when they first land with the team, through to the delivery of the final hearings. 
The role will also include management, retention, filing and destruction of documents inline with data retention policy, as well as management of police property.  

Key Responsibilities:

  • Support the administration for misconduct proceedings, namely Misconduct Meetings and Gross Misconduct Hearings for Police Officers and Police Staff
  • Plan and prioritise own workload on a daily basis
  • Manage the Misconduct Support email account and respond to general queries
  • Manage diaries and room bookings for meetings and proceedings
  • Maintain spreadsheets on a daily basis to reflect live workload and forecasting
  • Maintain, review and update Centurion (PSD computer system) daily
  • To input, scan, interrogate and manage data on Departmental systems
  • Support the proceeding case managers (paginate case papers, create ‘Box’ links; the platform used to share documents)
  • Complete basic redactions using computer software
  • Arrange for dissemination of case papers by appropriate means
  • Manage the movement and security of files and documents within the department, to individuals and other agencies, including the Independent Office for Police Conduct, Crown Prosecution Service and Police and Crime Commissioners. 
  • Copy CCTV and Body Worn Video (BWV)
  • Assist in the preparation of files, documents, evidence; ready for disciplinary and misconduct proceedings
  • Prepare rooms, facilities and equipment for proceedings
  • Complete Advisory and Barred list templates for College of Policing 
  • Proof read documents to support case workers
  • Ensure the health and safety of both the post holder and also colleagues and visitors to the department. 
  • Manage departmental property store and assist with management of records inline with data management principles
  • Carry out duties to support the business support function of the whole Professional Standards Department
  • Any other duties commensurate with the role and band/grade


Essential Skills:

  • Knowledge of relevant legislation and guidelines including Data Protection, Government Protective Marking, Disclosure, Freedom of Information legislation and guidance
  • Proven ability to handle confidential and sensitive information, demonstrating the utmost integrity and professionalism
  • Proven and demonstrable commitment to fairness, diversity and inclusion
  • Strong ability to follow process maps and checklists
  • Demonstrate an ability to prioritise tasks and work to deadlines
  • Good keyboard skills with the ability to transcribe information accurately 
  • Experience of working on own initiative and within a team environment
  • Able to demonstrate effective partnership working with other departments and agencies
  • Must be willing to undergo and pass relevant vetting requirements to MV level
  • Must possess excellent interpersonal skills and be able to work on own initiative and as part of a team
  • Can demonstrate personal resilience and ability to handle pressure
  • Ability to adopt a flexible approach to work (which could include staying outside of core hours on occasion)
  • Effective communication with a high standard of English both written and verbal
  • Competence in managing Microsoft office and databases

Desirable Skills:

  • Able to manage own workload with limited supervision and an ability to recognise when support is required from the line manager
  • Undertake additional responsibilities outside of the core role
  • Experience of using Police systems
  • Knowledge of PSD systems and processes
  • Knowledge of WMP systems and procedures
  • Experience of misconduct procedures and proceedings
      

Hours of Work and Flexibility: 

This is a full-time position working between core hours of 08:00 to 16:00 hours, Monday to Friday

Agile Work Style:

Fixed Office working at Lloyd House, hot desking (this is not an agile role)

Medical: 

Appointment to this role will be dependent upon successfully medical checks, which may include a drugs test.

 

Vetting:

Successful applicants will be required to pass Management Vetting and Security Clearance scrutiny prior to commencing their role, this will include a full background & financial disclosure as part of the vetting process.
