Admin Assistant (Business Support) - South West Regional Organised Crime Unit (SWROCU)

The South West Regional Organised Crime Unit (SWROCU) is looking for an Admin Assistant keen to progress their career as part of our Business Team.

This is a varied and interesting role where each day will be different depending on demand.  You will be part of a busy team, providing business administration, to include facilities management, finance support and operational requirements such as travel, accommodation and fleet vehicles to the South West Regional Organised Crime Unit (SWROCU), the regions response to serious and organised crime.

(Main) Responsibilities

  • To provide SWROCU with administrative support including receiving and dealing with email and face to face enquiries, ensuring that confidential information is not disclosed. To manage meeting rooms, fleet bookings and have daily responsibility for the site petty cash and income/expenditure in accordance with force procedures.
  • To operate SAP (personnel and finance system) and be responsible for procuring all equipment and raising all SWROCU purchase orders for authorisation, ensuring goods have been received and chasing deliveries/credits with the relevant company. To maintain up to date records/spreadsheets.
  • Financial administration in relation to salaries and over time as well as raising invoices and credit notes.
  • To be responsible for maintaining SWROCU's fleet; including arranging repair and maintenance, monitoring mileages and booking in vehicles for required services and MOTs.
  • To be responsible for the arrangement and booking of resources such as accommodation and travel for SWROCU staff, liaising with external companies and keeping accurate records.
  • To receive by various means, reports of faults and requests for service on building and engineering equipment. To resolve reported faults by liaising with regional force Estates Team and contractors, taking into consideration security vetting clearance requirements.

SWROCU is a collaboration of police officers and police staff from the five South West regional forces. We’re part of a national network of nine ROCUs covering England and Wales.

We have more than 20 capabilities that staff and officers work in to Pursue offenders, Protect and Prepare individuals and organisations, and Prevent people from engaging in serious and organised crime.

Our capabilities are here to advise, to assist, or to fully adopt investigations.

We work with local forces and national partners to target and disrupt criminals posing the greatest risk of Serious and Organised Criminality (SOC). This includes offenders involved in cyber threats, economic crime, drug conspiracies, modern slavery and human trafficking, and child sexual abuse and exploitation.

Blended Working/ Hybrid Working –

SWROCU encourage flexible working where operationally possible.
This role has been identified as a blended role.
The successful candidate for this role will have the opportunity to work from home two days a week whilst providing office cover three days a week at our Northern Hub. The successful applicant will have the option to discuss working arrangements with their line manager. All applicants must reside within the UK. 

Skills, experience and qualifications required

Essential:

  • Computer literate with experience of using Microsoft packages such as Word, Excel, Outlook.
  • Previous administrative experience.
  • Experience of updating and maintaining excel spreadsheets and computerised systems.
  • Experience of collating information.
  • Good attention to detail and able to work on your own initiative.
  • Experience of providing good customer service both face to face and via Teams/telephone.

Vetting and safeguarding

This post is subject to a higher security clearance at MV and SC – Management Vetting and Security Clearance Level.
