The starting salary for this role will usually be at the bottom of the salary range and will be pro-rata if the working hours are less than full time.

The Role & Key Responsibilities

The role will need to provide a proactive and efficient secretarial and administrative service to the Head of and Deputy Head of Corporate Communications and Engagement and to ensure the administrative demands of the wider team are achieved. This will include:-

  • Diary management for Head and Deputy Head of Corporate Communications
  • Produce, collate and circulate papers for meetings
  • Provide administrative support to designated meetings to ensure that accurate minutes are taken and distributed.
  • Develop and maintain appropriate filing and administrative systems,
  • Act as departmental contact point for the monitoring and ordering of stationery, equipment, or other products as required. Process orders, liaise with suppliers and be the contact point for servicing and fault reporting of equipment on hire, such as photocopiers.
  • Form positive working relations with other secretariat teams, developing a list of key contacts, supporting collaborative ways of working to enhance the secretarial support delivered locally.
  • Organise events as requested, to ensure that appropriate facilities are in place and that attendees have required information.
Skills & Experience

You will be required to have

  • Excellent interpersonal skills including an ability to be articulate, discreet, diplomatic and polite with the ability to form positive working relationships with internal and external colleagues and partners.
  • Experience of working with administrative office procedures and systems.
  • Ability to manage their own workload and work unsupervised when required.
  • Ability to respond to changing demands and priorities in a constructive and flexible manner.
  • Good level of IT literacy, using Microsoft based applications including Word, Excel, Outlook and Powerpoint.
  • Strong organisational and communication skills.
  • Ability to produce high quality work to tight deadlines.
  • Ability to appropriately handle sensitive information.
