Job Title: SO15 - Local Operations - Office Manager

Salary: The starting salary is £38,926, which includes allowances totalling £2,928.

The salary is broken down as £35,998 basic salary, which will increase annually until you reach the top of the scale £38,523. Plus, a location allowance of £1,928 and a non-pensionable allowance of £1,000.

This is a great opportunity to hone your skills as an Office Manager as part of an enthusiastic and knowledgeable team. You’ll join the Local Operations Support Unit (LOSU), one of five departments in the wider The Counter Terrorism Local Operations (LOPs) team. LOPs is tasked with delivering the Prevent programme as part of the Contest strategy. Its aim? To stop people from becoming terrorists or supporting terrorism and violent extremism.

As an Office Manager, you’ll lead the LOSU unit to ensure smooth operations and coordinate the team’s workday to day. You’ll also provide administrative and operational support to the Senior Leadership Team (SLT) and the Local Operations Department, so they can perform at their best.

Day-to-day, you’ll tackle everything from financial management and rotas to IT audits and Health & Safety, while acting as a manager to your staff. You’ll therefore need supervisory experience in addition to finance and budget management skills, and the ability to assist SLTs.

An excellent administrator, you’ll bring an organised approach, strong IT skills (Microsoft Office) and a good understanding of data, Finance and HR. You’ll also have great communication skills to connect with everyone from local authorities to a variety of internal stakeholders.

Job Summary

The Counter Terrorism Local Operations (LOPs) team is responsible for delivering Prevent under the Contest strategy.  Our key aim is to stop people from becoming terrorist or supporting terrorism and violent extremism. LOPs is comprised of five department. The Prevent clusters, the safeguarding team, the Strategic engagement team (SET), the Local Operations Tasking team (LOTU) and the Local Operations Support Unit (LOSU). We work with a range of stakeholders from Local authorities, social services and local BCU to deliver our aims.

We are looking for an admin office manager to join the LOSU.  You will lead a team of Band E’s and will work with the LOTU, and support the SLT.

The LOSU office manager will have experience of supervising teams and working with police colleagues.  They will be able to manage and co-ordinate the work of the team, and ensure the smooth running of the team across multiple areas of work.  The role will include the key tasks below, but this is not an exhaustive list.

Key Responsibilities

  • Responsibility for financial management, including authorising invoices and ensuring reconciliation.
  • Maintenance of SLT and Inspectors team duties rota, leave line
  • Provide administration support to recruitment, monitor the workforce information on a monthly basis. 
  • Responsibility for maintaining the Local Resource Planning data for Local Operations.
  • Responsible for IT Audits.
  • Supervising office responsibilities for Health and Safety on behalf of LOPs, ensure annual risk assessments are completed.
  • Lead on Business Continuity, complete and update both Business Continuity Plans and Business Impact Assessments.
  • Manage duties across Local Operations. Creating annual rosters, providing rosters for new joiners and supporting flexible working request processes
  • Provide support to the Local Operations accommodation and ICT board.
  • Maintain record management and project support where required.
  • Supporting Interventions which includes Prevent and Nominal Management with the roll out of new systems, keeping track of training requirements.
  • Maintain key support documents such as skills spreadsheets, organisation charts, and vehicle information.
  • Procurement (complete all 9002, have an overview of all orders placed)
  • Complete all business cases for Local Ops 
  • Line manager to Band E staff.
  • Taking minutes at weekly tasking and coordination meetings as required.
  • Supporting presentations or performance reports (weekly tableau report)
  • Support and coordinate SLT visits and coordination to manage a range of stakeholders.

Vetting

This post requires access to the most sensitive intelligence material on a daily basis. Applicants must hold or be prepared to undergo National Security Vetting (NSV) Security Check (enhanced) (SC(e)) level before taking up the post
