The Role & Key ResponsibilitiesFrom your first day with us you will be part of a policing family making a real difference.

An exciting and sought-after opportunity has arisen for a Secretary to join Sussex Police as part of a team supporting the divisional portfolio on West Sussex.
You will be supporting defined stakeholders within the Command Team, but work as an integral part of a secretarial team supporting the whole Command Team of twelve senior officers/managers and the wider division.
This role is key to the smooth running of the division. You will be providing effective, efficient, proactive professional secretarial and administrative duties.
You will have excellent team working skills and a practical, flexible, and pro-active approach, with a willingness to support and deputise for colleagues.
Being self-motivated and able to work using initiative with minimal supervision, you will need to have proven experience of delivering high quality work, prioritising, and working to often tight deadlines.
In addition to providing core secretarial support, dealing effectively with visitors, telephone calls, diary management and emails, you will be in a customer focussed role and have regular interaction with senior management teams, police officers and staff from all levels across the force.
You will be able to demonstrate evidence of good interpersonal and verbal and written communication skills, including GCSE English Grade C or above (or equivalent). Excellent customer services skills and a “can do” attitude are a must.
Skills & ExperienceThe role will involve diary and email management; drafting responses to emails and correspondence; producing, collating, and circulating meeting papers; attending and minuting meetings; organising and booking of events, travel arrangements and accommodation; meeting visitors; taking telephone calls and ensuring a high level of customer service is delivered.
GCSE English Grade C or above (or equivalent).
Good verbal and written communication and interpersonal skills facilitating daily interaction with a wide variety of contacts at all levels, both within the immediate team, Sussex Police and externally.
Proven track record of secretarial and office experience, including strong organisational skills, Outlook diary management, customer service skills and ability to manage competing priorities.
Proficient with Microsoft Office 365, including MS Teams, Outlook, Word, PowerPoint and Excel.
Accurate typing at a speed of at least 60 words per minute is needed in order to produce actions, decisions and minutes, as required.
Ability to work with limited supervision and limited direct instructions and produce high quality work to tight deadlines, managing competing priorities.
Confident to appropriately handle sensitive information within GDPR legal requirements.
Previous secretarial experience supporting multiple stakeholders, minute-taking and co-ordinating travel and accommodation for stakeholders would be a distinct advantage.
This is a role to work with a team of secretaries supporting the division. It is a part-time role working a set pattern of five hours per day, 0930-1430 hours, Monday-Friday.
The role is contracted to Chichester Police Station. The successful candidate would be required, on occasion and with notice, to work from various sites across the division/force to support specific meetings. There may also be some opportunity for home working on occasion.
