About the role
An opportunity has arisen for a bright, enthusiastic, person with good interpersonal and relational skills to join the Wiltshire Police, Criminal Justice department. The role is based at Swindon with a requirement at times to work at either Melksham or Salisbury. A work vehicle can be used when available.
Wiltshire has lots of layers - prehistoric stones, wartime bunkers, secret trails and hidden churches. But behind all of that, keeping our community safe across the years are generations of quiet police work. Some of it heroic, some of it worrying, but all of it real.
The primary focus of this role is to be the divisional custodian for the archiving of all crime files. Also, when required, to undertake all administrative duties in respect of files and related matters within the operational support services department, ensuring that all time scales are complied with and that both local and national file standards and targets are consistently met. Some lifting and working at height are required. Training will be provided for this role.
What you will be doing
- Prioritise and manage all incoming and outgoing work while adhering to deadlines to ensure day-to-day activities are completed in a timely manner.
- Review crime files submitted for filing to ensure all matters are completed and dealt with.
- Use Police National Computer (PNC), Niche RMS (Record Management System), and FDS (Force Data Search) to check the completeness and accuracy of the files.
- Ensure corresponding data is accurate and all tasks are completed before archiving and file movement (via Niche, Historic FDS system, or legacy file spreadsheets for pre-1997 files).
- Identify and address anomalies by contacting officers or relevant departments.
- Strip files once completed, making risk-based decisions on which paperwork to retain or destroy.
- Where necessary, remove and action Evidential Property forms and green Digital Evidence forms and pass them on to the relevant departments.
About you and your experience
- Ability to prioritise tasks effectively and manage multiple responsibilities simultaneously.
- Strong attention to detail and ability to follow complex processes.
- Ability to meet deadlines and manage time efficiently in a fast-paced environment.
- Knowledge of data management, file storage, and electronic file movement protocols.
- Experience of handing confidential information.
- Excellent communication skills
- Essential knowledge and experience in Microsoft Windows Software.
- Experience in the usage of Niche, PNC and legislation around GDPR is desirable.
