Flexibility Requirement: Candidates must be open to flexible daily working hours to meet the operational needs of the department. This may include adjusting start and finish times, providing cover during peak periods, or supporting colleagues during absences. Flexibility is essential to ensure consistent service delivery and effective team collaboration.

Overall Purpose of the role: To provide executive and professional, high quality administrative, secretarial support to Chief Officers, from diary and meetings management to activities that support Chief Officers in the strategic delivery of their respective Force areas of responsibility and National portfolios
Key Responsibilities:
- Providing a comprehensive secretarial and administrative support service in relation to preparing and managing correspondence, including preparing complex responses, reports, letters/emails and briefing papers on a wide variety of topics suitable for varying audiences and exercising of judgement to respond independently to communication on the behalf of Chief Officers and Humberside Police.
- Sources, collates and summarises information on behalf of Chief Officers. This includes preparation of synopses of lengthy reports, highlighting any salient points, bringing the information to the attention of the appropriate individuals, and noting any actions that may be required to be undertaken, chasing up actions to ensure responses where necessary.
- Acts as an effective interface between Chief Officers and key stakeholders (including members of the public and Force staff associations), dealing with complex enquiries on their behalf whilst developing and maintaining strong working relationships for effective working practices. Acts as a source of advice and/or guidance to a range of individuals.
- Working with multiple, complex diaries and prioritising business to ensure the achievement of key timescales and priorities. This will often entail re-prioritisation throughout the day and will call on key negotiating skills across many levels. Includes making / amending appointments, arranging both local and international travel arrangements, booking accommodation, greeting guests to the Force and ensuring all hospitality arrangements are made.
- Ensures timescales are adhered to in the completion of written reports provided by Commanders/Departmental Heads for the Chief Officer Team, OPCC and other key stakeholders. Ensuring that the content remains within agreed parameters and aligns to the strategic direction of the Force, Force priorities and ensuring appropriate scrutiny and governance measures are in place and allocated actions are monitored.
- Manages the Chief Officers official expenditure, documenting all expenses / credit card purchases and submitting accordingly for payment.
- Briefs Chief Officers prior to meetings, providing notes on a range of complex matters or action checklists as appropriate in a timely manner that is consistent with the Chief Officer’s workload priorities.
- Assists Chief Officers in respect of any commitments at a national, regional or local level. This will include liaison across the country with senior police officers and high-ranking officials, including all police forces, NPCC, Home Office, OPCC, etc. to discuss issues and scope potential options for resolution. Develops a good understanding of the Chief Officer’s portfolio in order to provide an efficient support service to them and to enable liaison with personnel internally and externally to receive, initiate and prioritise communications and information for effective decision making. Develop and maintain an organisational knowledge and network of key contacts.

What the role requires:
- Excellent organisational skills
- Must possess an excellent word processing ability. Fully conversant at a full range of office procedures, computer literate in MS Office, including Word, Excel and PowerPoint alongside an excellent knowledge of Outlook email, scheduling software and internet skills. Literate and Numerate.
- Significant experience in a Personal Assistant role supporting at an executive level with experience of developing and continuously improving a range of high quality administrative, secretarial and office systems.
- Previous experience of arranging meetings/conferences, managing diaries and proactively making arrangements to meet the requirements of Chief Officers and senior officers from other organisations.
- Assertiveness and the ability to remain calm in difficult situations.
- Has the ability to undertake research and compile reports for consideration and to research/seek out information from non-obvious sources.
- Demonstrates an ability to plan and prioritise workloads and work effectively to deadlines.
- Possesses an appreciation of the need for confidentiality.
- Ability to work with minimum supervision when required.
- Carries out tasks in an accurate and methodical manner with an eye for detail.
- Ability to work as part of a team.
- Ability to prioritise workload.
